How do I Setup or add POP mail boxes to Outlook 2000 - PC with Windows ?

Microsoft Outlook 2000 is a desktop information manager program included with Microsoft Office 2000. One of its many capabilities is handling e-mail, and this document describes how to configure Outlook 2000 Internet e-mail.

The guide covers a scenario where the Outlook is set up on a standalone machine, or on a network with no central mail sorting server (such as Exchange) and Outlook sends direct to the Internet.
In scenarios where an Exchange or VPOP3 server is used, mail client configuration should be referred to the network administrator, as custom settings may be used.

Configure Outlook

  1. From the Outlook Tools menu, choose Services
  2. Select the Services tab.
  3. If Internet E-Mail appears in the list of services:
  4. Highlight Internet Mail.
    1. Click the Properties button.
    2. Go to step 8.
  5. If Internet E-Mail does not appear, continue with step 4.

  6. Click the Add... button.
  7. In the Add Service to Profile window, highlight Internet Mail.
  8. Click OK

 

  1. In the Internet E-Mail window, select the General tab.
  2. Enter your full name and e-mail address under Personal Information.

Notes on email addresses

  • Domain email users: name@yourdomain.suffix
  • Swiftserve email users: anyname@name.swiftserve.net

  1. On the Server tab, enter the mail server addresses

Notes on Mail server addresses

Incoming mail:

  • Domain email users: see your paperwork The incoming mail server address will be provided by Swift Internet (either mail.swiftinter.net or mail2.swiftinter.net or mail3.swiftinter.net).
  • Swiftserve mail accounts should use pop.swiftserve.net

Outgoing mail:

  • If you are using a Swift dialup account enter the outgoing mail server address as smtp.swiftserve.net (Obtain Swift Dial-up)
  • If you are using a Swift dialup account enter the outgoing mail server address as smtp.swiftserve.net (Obtain Swift Dial-up)
  • If you are using any other dialup account then contact your ISP and ask them for your outgoing mail server address (see our guide: outgoing mail servers for examples)
  1. For Account name, enter your username (note that this is case-sensitive).
  2. For Password, enter your e-mail password (also case-sensitive).

Notes on Login details

Account Name:

  • Domain email users will use their mail box username
  • Swiftserve email users will use their Swift dial up username (ie swi-????)

Password:

  • Domain email users will use their mail box password
  • Swiftserve email users will use their Swift dial up password
  1. Select the Connection tab.
  2. Under Connection, choose connect using my phone line .
  3. For Dial using the following connection, select your connection to be used. Remember, the connection used will govern the outgoing mail server you are to use.
  4. Selecting the LAN option, disarms all other options on this panel. Outlook 2000 cannot alter the network settings- it can only use what is already setup.Check if you able to send mail direct to the Internet with your administrator.

  1. Click OK.
  2. If you have added the Internet E-Mail service, you will be prompted to restart Outlook. Click OK.
  3. Click OK again to dismiss the Services window.
  4. Quit and restart Outlook if necessary.

Sending Mail

  1. To write a new e-mail message, choose New on the Outlook Taskbar to open a new message
  2. Enter primary recipients in the To field, carbon copy recipients in the CC field (optional), and a title for the message in the Subject field.
  3. To attach files to the message, from the Insert menu, choose File...
  4. When your message is finished, click the Send button. This places the message in your outbox, and it will be sent the next time you check mail.

Checking Mail

  1. Click on the Send/Receive button on the Outlook Taskbar. This will invoke the dialup (or LAN) connection to check for mail from the Internet

Notes- Differences in Outlook 2000 Releases

It has become apparent that are two releases of Outlook 2000 available, with differences in the e-mail configuration. If your version is not the same as the guide above, the follow the route:

  1. Tools
  2. Accounts
  3. Internet E-mail

The wizard will open a wizard that is similar to the Outlook Express set-up panel, but asks for the same information as above. Simply click on Add, Mail and follow the steps shown. For a closer look at this panel, please consult the Outlook Express configuration guide for screenshots.
