Troubleshooting mailbox problems - a general guide
My mailbox rejects my POP mailbox logon details:
- Check you are using your POP logon details and not your dial up details.
- Check you have typed the details correctly (details are case-sensitive)
- When you connect to your POP3 mailbox, our server will establish a lock in order to prevent anyone else connecting to the mailbox at the same time, whilst it is being downloaded. This means that you may have only one connection to the mail box at any time.
If, during download, the connection is disrupted- either due to the client malfunctioning, loss of phoneline, or a timeout error, the box maintains the lock which has been made. This lock will prevent you from accessing the mailbox for a pre-set time, of approx 25 minutes.
If you attempt to log back in during this time, the box will assume you are not authorized and reject any details you use. Swift are unable to clear this lock- it must be left to expire. (25 minutes)
Time Out errors
These errors are usually signified by a "time out warning" (wait more or stop), or by the message "The server has unexpectedly terminated the connection...", as the server decides to cut off the client.
These can be caused by:
- Connection
Poor connection to the mail server, either over a bad phone line connection, or a problem with the connecting ISP that you may use. (The ISP's server relays your request to our server). It is possible to compensate for this by increasing the timeout value in the email client. (Outlook and Outlook Express have 60 seconds by default, located in the mail account's properties, under the Advanced tab). If you are using a swift dial account, check your telephone number (0845 1121324 is recommended, with a back up of 0845 1121074).
- Over sized messages
A blockage in the mailbox, caused by an oversized message. Normally, messages are small, taking only a few hundred bytes. Attachments, especially graphical work can increase the size of the message greatly (depending on the format used). This will cause problems, especially if using a modem to download mail. If you suspect a large message is causing a blockage, you can use the Webmail facility, located on www.yourdomain/webmail to access the mail online and remove the culprit.
- Anti virus settings
Certain antivirus programs, such as Norton Antivirus can cause Email clients (Outlook and Outlook Express) to corrupt their mail server addresses and passwords. To rectify this, disable the mail virus scanner, go into the mail account settings and check the details. Once done, turn the scanner back on to save any changes. - Server
Server malfunction, which can be verified by checking with Swift support. This error does not occur very often, as the servers are closely monitored. |
